Register now for online W-2s if you haven’t done so previously

Employees can enroll now through Dec. 31, 2023, to receive electronic W-2s in January. Employees who previously opted in will automatically receive their 2023 W-2s electronically.

If you didn’t sign up previously, but you have received at least one pay in 2023 and have a permanent Social Security number, you can sign up now. Review the following important information about enrolling:

Confirming if you previously enrolled: Employees may confirm they have selected electronic delivery by following the instructions on the Employee Self Service page.

How to opt-in to receive an electronic W-2: To receive your  W-2 electronically for 2023, you must provide consent by Dec. 31, 2023. Utilize the step-by-step instructions on the Employee Self Service page. If you have not previously enrolled and do not enroll by Dec. 31, 2023, then you will receive a paper W-2 via U.S. mail for 2023.

When will electronic W-2s be available: Pitt will send a notification to let you know when W-2s are available in January.

Non-wage payments: The electronic opt-in does not apply to non-wage payments, such as training grants, pre-doctoral fellowships and post-doctoral scholarships which are not W-2 reportable. Recipients of these non-wage payments can still opt in for paperless forms through ADP; however, no W-2 will be issued or available for those payments. Recipients of non-wage payments can visit the Year End Information page or visit our payroll website and select their role for additional year-end information.
